Set up and use the Crew App

Find assigned visits, review work orders, record progress and upload job photos or sketches.

Before you start

  • Sign in with your own account and confirm the shop. Crew App access and inventory access are separate permissions; the office configures the sections available for each activity type.
  • Have a saved job and a dated calendar event assigned to the intended person or crew. An undated job activity alone does not create a scheduled crew stop.
  • Keep an internet connection available for saves. Camera and location require device or browser permission; changing a shop setting does not grant that permission or install a native app update.

1Enter Crew App and orient yourself

Choose Crew App in the header. Tasks shows today's stops; Schedule shows dated work across the next two weeks and offers earlier history. Warehouse opens the warehouse floor view. Inventory appears when your account has inventory read access. My Work opens the work dashboard, which has its own date, activity and assignment filters. The office-dashboard shortcut is available only to accounts with the applicable office access.

2Choose Mine, Field, Shop or All

The first filter can be labelled Mine, Field or Shop according to your role. It uses calendar assignments to you, your linked employee identity or your crew. A direct personal assignment can appear even outside your normal activity-type filter; crew assignments still follow that filter. All broadens the assignment view while retaining applicable job-title and location restrictions. Tasks and Schedule remember the same choice in this browser. All does not mean unrestricted access to every tenant's work.

3Read today's stops

In Tasks, check the date, activity type, time, assignees, status, job name and address. The next-stop or in-progress area helps identify current work. Open the intended job card before taking action. A job can have several visits; choose the correct activity rather than assuming every card for that job represents the same visit.

4Expand dates and load previous visits

Choose Schedule, then tap a day to expand its stops or tap it again to collapse them. Today opens initially; Tomorrow and the other days can be opened individually. Show previous days adds a week of history. Load more adds further weeks, up to the available 90-day history limit. Check the selected date and status before opening a previous visit.

5Search beyond the displayed schedule

Search all jobs is available in Tasks and Schedule. Enter at least two characters from the job name, number or address, then open the matching result. Search reaches jobs outside the displayed calendar window. A result uses the job's latest activity when one exists, which may differ from the dated visit you intended. Return to Schedule and open the specific event when that distinction matters. Clear search restores the dated list.

6Check the site and contact information

On the activity page, verify the job number, customer and address. The location panel displays the destination when Maps and address lookup are available. Navigate opens Google Maps and starts the en-route workflow: it can start a scheduled activity, add you as an assignee and send customer SMS/email when the shop has enabled en-route notifications. Call uses the device's phone handler. Confirm the destination before using Navigate. A denied location permission does not establish your current position. The separate shop check-in prompt, when required, verifies the shop's configured GPS or Wi-Fi/IP conditions; it is different from checking into a job activity.

7Check in to the activity

Choose Check In when starting this visit and wait for Mark Complete to appear. Check-in records the activity's actual start, changes its status to in progress and can add you to its assignees. These are job-activity records, not a payroll clock. Location tracking, where enabled, depends on app/device permissions and whether the app is running; a browser walkthrough does not prove background tracking on a native device.

8Review the work order and drawing

Scroll to Work Order and inspect its loaded preview. Open full opens the generated work-order PDF; review its pages before printing or sharing it. The inline preview and PDF are different display surfaces. The activity's configured job-usage template controls the work order, with the shop default used when no template is pinned. Drawing is a compact summary on this activity screen. Use the work-order PDF for a closer document view. A near-empty work order may mean the chosen template contains very few fields.

9View the activity's forms and files

Forms lists the documents attached for this activity. Auto-filled from the job and View / Print mean document review: open the form to inspect or print it. These links do not provide a form-answer editor. Configured templates can attach automatically when the activity first opens. Files depends on the section being enabled, each file's Crew visibility and any folder filter. PDF files have a document viewer; other supported files open through their available viewer or download action.

10Leave an activity note

Choose Leave a Note, enter the information the office needs and choose Save Note. Wait for the note to appear in Notes. The saved line includes its date and author and is mirrored to the linked calendar event. Use a clear description such as what was measured, what is missing or what the next person should verify. Saving a note is separate from sending an office notification.

11Stage photos or files for upload

In Photos, choose Camera to use the device's camera/file capture controls, or Upload to select existing files. Inspect the staged batch and remove unwanted files before submission. Choose a job folder if the picker is shown. Your previous folder choice can be remembered for this activity; a folder pinned by the office replaces the picker with a locked destination.

12Describe, submit and verify the batch

Enter an optional description that applies to every file in the batch, then choose Submit. Skip Description also uploads the files, without the description; it is not Cancel. Close the batch to cancel before submission. Wait for completion and check the new photo or file. If only some uploads fail, the retry view keeps the failed files so you can retry those without resending the successful ones.

13Inspect uploaded photos

Open a photo thumbnail to see the filename, author and description. Use the zoom buttons, Fit, pinch or double-tap to change magnification; drag to pan and swipe between photos where available. Close returns to the activity. The Delete photo action removes a saved upload, so use it only when you intend to remove that file from the job.

14Sketch on the Draw Board

Choose Draw Board for an annotated field sketch. Select a pen, marker, highlighter, text or a shape such as a line, arrow, rectangle or circle. For text, select Text, tap the intended position on the canvas, enter the text in the browser prompt and confirm. Double-tap existing text to edit it. Select existing elements to move or resize them; use Undo and Redo to review changes. Additional board controls include color, thickness, erasing, photos, pages, scale/measurement and zoom. These sketches are separate from the quote editor's priced countertop geometry.

15Save a sketch to the job

Choose Save to job on the Draw Board. This stages an image in the upload review; it does not finish the upload immediately. Review the folder and description, choose Submit, then confirm the image appears in Photos. Reopen it to check that labels and measurements are readable. Use the quote drawing workflow when a change must update the actual countertop shape or price.

16Send the right kind of update

Message beside the contact details opens Send to office. Running late, Customer not home and Found extra work prefill an editable message; Other starts a free message. Review it before Send Update, which notifies the salesperson and owners. This button does not text the customer. Navigate starts the separate en-route workflow, including customer SMS/email if enabled by the shop. Do not tap Navigate merely to inspect the address when you are not ready to start that workflow. The header's Message the shop control opens the separate shop conversation.

17Report a problem or emergency

Report Issue captures what happened, details, date and an optional photo, tied to the current activity. Submitting it notifies the office and salesperson. Emergency is the shop's emergency-stop workflow and can alert shop screens. Follow your shop's procedure; use ordinary notes or office updates for routine progress. Opening a dialog alone does not submit its report.

18Complete the visit and verify the handoff

When this activity is finished, choose Mark Complete on its page or Complete on the stop card and wait for the completed state. It records the activity's actual end; it does not automatically complete every other activity on the job. Review your notes and uploads before leaving. The office should see the matching activity and calendar status. Reopen or refresh if a request failed rather than assuming a tap was saved.

19Configure activity screens as an administrator

Open Settings → Templates → Crew App Settings. Select an activity type and toggle its location, Report Issue, contact, work order, forms, drawing, notes, files and photos sections. Drag the section rows to change their order and inspect the phone preview. Check In stays beneath the first section. Choose a work-order template and any forms for this type. File-folder restrictions narrow crew-flagged files; Upload Folder controls where new crew uploads go and can create that folder on the job. Choose Save to persist the edited activity packages, then reopen a real activity to verify the result.

20Map crew job titles and troubleshoot visibility

Crew Role Titles maps each title to one or several activity types; no selected types means a generalist. Save Titles is separate from the activity-package Save button. Assign the matching Job Title on the team member's account so the mapping can apply. These title mappings filter work; they do not create calendar assignments or grant the Crew App permission. If work is missing, check the date, calendar event, assignees, Mine/All choice, title and location. If content is missing, check the section configuration, attached form and file visibility. Bring the app to the foreground and reopen the activity after settings change.

Check the result

  • The intended person can find the correct dated activity and sees the configured sections.
  • Check-in, completion and notes agree with the office activity and linked calendar event.
  • Uploaded files have the intended folder and description and open clearly from the job.
  • The saved activity screen and title mappings were checked with the relevant crew user's access.

If something looks wrong

  • Search results can open a different activity from the visit selected in Schedule. Return to the dated stop when adding visit-specific notes or photos.
  • A blank or missing work order can be a template, linked-quote or loading problem. Check Open full and the configured job-usage template before creating duplicate forms.
  • Camera, Maps and location need the appropriate device access and configuration. If an upload fails, keep the failed batch and retry when connected. Do not assume offline work has reached the office.
  • Warehouse shows the physical rack/floor view. Use the dedicated inventory and scanning guide for stock changes, labels and printer setup; those actions have their own permissions.
