Before you start
- Have inventory read access and, for counts, moves, receiving and labels, permission to update inventory. An owner or administrator configures the shared scanning and label settings.
- Prepare the correct rack and identifiable stock records. Check that each optical label identifies one intended piece or rack, even if the same piece has both a QR code and a barcode.
- Know your label stock's physical size and printer resolution. For camera scanning, allow camera access in your browser. RFID requires a compatible reader and, for encoding, a configured RFID printer.
1Open the scanning workbench
Open Inventory and click Scan inventory. On a phone, open Crew App → Inventory → Scan inventory. Both routes open Shop floor scanning with Scan for details, Take inventory, Move to rack, Receive stock and Print labels modes.
Use Labels & settings to open the shared setup, Inventory to return to the inventory list, and Movement history to inspect recorded location changes. A rack scan identifies a location; a piece scan identifies stock. Check which one was returned before continuing.
2Choose the shared scanning defaults
In Settings → Inventory, find Inventory scanning & labels and open Scanning. Enabled scan methods controls which QR, barcode and RFID choices are available. Default inventory system selects the initial method; Open scanning in selects the initial details, count or move mode.
Normal label provider records whether the shop normally uses SlabOS labels or retains Slabsmith labels. Existing source labels must already resolve correctly; this setting does not import missing stock. Vibrate on accepted reads when supported adds device feedback. These choices are shared by desktop and Crew after saving.
3Choose, duplicate or create a template
Open Sticker designer and choose a Template. Duplicate makes a copy you can customize. New template starts a new label. Give it a recognizable Template name and choose Label for: slab, remnant, piece or rack.
Delete template removes the selected template from the draft; it is disabled when only one remains. Check the shop and branch defaults when replacing templates. Use as the shop default label selects the template to offer by default where it matches the item being printed.
4Set physical dimensions and resolution
Choose Display units, then enter Label width, Label height and Margin. These values describe the physical label. Resolution must match the printer's DPI. Swap portrait / landscape exchanges the width and height.
With Scale elements when label size changes enabled, resizing adjusts the existing elements to the new printable area. Turn it off when you want to keep their exact dimensions, then reposition anything that no longer fits. The preview's plus, minus and Fit controls change only the on-screen view.
5Fit an existing layout or start a compact barcode label
Fit elements to label brings the current layout into the printable bounds. For small barcode stock, Use compact 3 × 1 layout replaces the selected draft's fields with a layout designed for that size: barcode, product name, code, location and dimensions, retaining an existing logo.
Undo restores the previous draft change. Review the result before saving, especially after replacing or scaling a layout. A small label may need fewer elements to keep its code readable.
6Select, move and resize an element
Click an element on the label or choose it in Selected element. Drag it to move it. Drag an orange handle to resize it, or enter exact Left, Top, Element width and Element height values in the displayed units.
With an element's canvas control focused, arrow keys nudge it by 0.25 mm; Shift plus an arrow moves it by 1 mm. Remove element deletes the selected field, or press Delete while its canvas control is focused. Undo can restore the draft change.
7Add inventory information and custom text
Click + Inventory field, choose the Inventory information to display, and add an optional Prefix such as Lot: or Rack:. Click + TEXT for a fixed statement that should appear on every label using this template.
Set Font size, Alignment, Bold and Shrink text to fit for text or inventory fields. Resize the element as needed and check the current preview. Shrinking text can help it fit, but the actual printed text must still be readable.
8Add codes and crop a logo
Use + QR or + BARCODE for an optical identifier. Leave enough space for the code and its surrounding clear area. Overlapping code areas or an undersized code can prevent reliable scanning.
Use + Logo to select a PNG or JPEG under 150 KB. Fit whole image preserves the complete logo; Crop to fill fills its element box. Image position chooses which part remains visible when cropping. Adjust the element's width, height and position, then inspect the preview.
9Resolve label warnings and save
Wait for Print preview is current. Review any printable-area, overlap, code-spacing or text-fit warning. Adjust the named element and inspect the refreshed preview before printing.
Click Save scanning & label settings. Reopen the settings and template to check the saved result. If another window changed the settings, reload the latest saved configuration before applying your intended edits again.
10Configure printer profiles
Open Printers. Add printer profile, give it a clear name, choose its Connection and Resolution, and describe the Media profile / label stock. System / Browser Print is the browser printing route. SlabBridge shop printer requires a registered shop connection and local printer mapping.
Choose a Default printer if appropriate. Remove printer profile removes that profile from the draft. RFID encoding printer is available only for the shop-printer connection and requires compatible hardware. A profile by itself does not install drivers or connect a printer. Use the Zebra printer setup guide for the ZD621 and Browser Print setup.
11Review racks and branch defaults
Open Racks & branches. Select an Existing warehouse rack to inspect its name and shop branch, or enter a name to create a rack. Existing rack names are managed on the warehouse map. A warehouse tied to a shop location supplies that location to its racks.
Save rack saves the rack entry. Print rack label opens its label dialog. Under Branch defaults, choose a scanning method, label template and printer for each branch, or leave the shop default selected. Save scanning & label settings saves those shared defaults. 12Preview labels for stock or a rack
Open a stock or rack label action, or use Print labels mode and scan the intended item. Choose a Label template and Printer profile in Inventory labels. Print preview uses the selected layout and the actual item data; opening this preview does not create a print job.
Edit sticker content / size takes an owner or administrator back to the designer. A rack needs a matching rack template. Quantity stock offers its quantity label. Batch printing supports up to 100 distinct pieces or racks per batch.
13Prepare and inspect system-printed labels
For browser output, choose System print dialog / PDF under Print connection. Click Prepare labels to create the jobs and prepare the output. Then click Print labels from the preview-ready panel to open your browser's print dialog.
Use the displayed physical label dimensions, 100% scale, no headers and no extra margins. Inspect the actual output and scan its QR or barcode. Click Labels printed correctly only when you have checked the printed labels. If you cancelled printing or it failed, choose Printing cancelled / failed.
14Read print-job states before retrying
Recent label jobs shows the target and its current state. Refresh reloads those results. Print queued label is available for your queued browser job. Cancel / retire label is offered for eligible jobs you own.
An uncertain result needs a physical printer check before replacement so you do not unintentionally duplicate output. For RFID, verified encoding and attachment are separate: attach the label, scan that same piece or rack's optical code, read the attached tag's EPC, then use Activate attached tag. Do not treat a queued job or an unverified tag as a finished label.
15Scan a code for details
Choose Scan for details. Select the Scan method and, when necessary, Label source. Type a code into Scanned inventory code and click Scan, or use a paired reader that sends the code as keyboard input.
Check the returned serial, location, branch, status and any reservation. Open full details opens the stock record. Print / replace label opens its label dialog. Quantity stock also shows its available quantity and Assign quantity / view job; follow the quantity-stock guide for allocating boxes, bags or other units to a job.
16Use the phone camera
For QR or barcode, click Open camera. Allow camera access if prompted and hold the label steadily in view. Scan for details closes the camera after resolving a code. During an open count or move session, reads are added to that session instead.
Close camera stops capture. Flashlight is useful when supported by the device; an unsupported camera shows a message. If camera access is blocked or the camera is busy, correct the browser permission or close the other camera app, then click Retry camera. You can still type the code or use a paired scanner.
17Start a rack count
Choose Take inventory. Scan the rack's label or choose Rack to count, verify the destination and click Start count while online. The session records the expected pieces at that rack.
Scan each piece. The review shows unique pieces, device reads awaiting sync and duplicate codes ignored. Different supported labels on the same piece do not create a second physical piece in the count. Sync & refresh review resolves pending reads and refreshes current stock information.
18Review count exceptions and unseen pieces
Inspect every selected row. Unexpected on this rack identifies stock that was not in the starting rack list. Changed or unavailable stock is excluded from eligible selection. Unknown labels and a rack scanned during an open batch appear as scan exceptions.
Uncheck a piece you do not intend to confirm. Review expected pieces not seen and select I reviewed the unseen pieces. Keep them in inventory when shown. Unseen stock is retained. A count normally records what was seen without changing locations; Also place the selected pieces on this rack explicitly enables placement for the selected pieces.
19Confirm the count and inspect its result
Wait for zero device reads awaiting sync and review the selected total. Click Confirm pieces. Read the confirmed, locations-updated and not-seen totals. A normal count should report zero location changes.
The session remains in Recent sessions with its saved result. Check any discrepancy in the stock records or physically at the rack; the count does not automatically delete or consume missing material.
20Move selected pieces to another rack
Choose Move to rack, scan or select the Destination rack and click Start move. Scan the pieces that are actually moving, then review their current and intended locations. Uncheck anything that should remain where it is.
When the destination has sides and slots, open Choose sides and slots for selected pieces. Select the side and slot for each piece, or choose rack-only placement. Review capacity warnings. Confirm only after the selected pieces and destination agree with the physical move.
21Verify movement and preserve reservations
After confirming a move, read the number of locations updated. Reopen the stock records or warehouse rack and verify the saved location, branch, side and slot. Movement history shows the recorded before and after locations.
Moving stock preserves holds and job reservations. A move changes placement; it does not release a quote hold, consume the stock or assign a quantity to a job. Use the corresponding stock or allocation action when that is your intention.
22Resume work and handle offline reads
An open session can retain reads on that device while offline. Pending device reads have not yet been resolved on the server. Reconnect and wait for synchronization before reviewing or confirming. You cannot start a new count or move, resolve a standalone code or confirm changes offline.
You can leave and resume the open session on the same device and login. Recent sessions can reopen an open server session; device-only reads must sync first. Keep pending browser data until it is synchronized. Cancel session ends an open session without changing inventory locations, once its pending reads are resolved.
23Receive the appropriate inventory type
Choose Receive stock. Scan a rack to supply the receiving location, then choose Inventory type: slabs, tile, flooring, setting materials, grout or trim as available for the shop. Click Receive to open that type's form.
Slabs are individual physical pieces. Tile, flooring, grout and other quantity stock use the product's stock unit, such as boxes or bags. Check the lot, quantity, coverage and rack before saving. Follow the receiving and quantity-stock guides for the complete forms and job-allocation workflow.
24Keep source and hardware workflows distinct
Slabsmith read / write is a separate source-connection workflow. An unknown source label is a reason to check synchronization and mapping before receiving a duplicate item. Choosing a label source does not create that connection.
QR and barcode work through supported camera or keyboard-reader input. RFID needs compatible reading hardware, and encoding needs a configured RFID-capable printer with verification. Use the dedicated Slabsmith and Zebra guides for those setup steps.
Check the result
- The saved template fits the actual label stock, and its printed QR or barcode resolves to the intended piece or rack.
- A count's confirmed and unseen totals match the reviewed session. Unseen stock remains in inventory.
- A confirmed move updates only selected eligible pieces; their rack, side and slot are correct and reservations remain intact.
- No device reads remain unsynchronized before a session is confirmed, and print results describe what actually happened.
If something looks wrong
- Permission denied means the camera could not be opened. Check camera permission for the browser and slabos.com in the device's settings, then retry. If an in-app browser blocks it, open the same page in the device's normal browser.
- A paired scanner must use a supported code and enabled method. RFID encoding requires configured compatible hardware; selecting RFID does not turn a phone into a reader.
