Schedule and assign job events

Schedule job work, assign people and crews, manage appointments and customize calendar views.

Where to start

Schedule

Before you start

  • Check the job, site address and required events. Employees and crew groups must be available in your shop's assignment lists; an assignment alone does not create login access.
  • Review the current date range, global location and calendar filters. Event statuses and activity names can use your shop's vocabulary.

1Start with the job's events

Open the job, confirm its account and site, then jump to Events. Expand the appropriate phase when the work is phased. A job event represents scheduled production or site work; a team task is a separate record. A duration shown as an estimate is not a saved appointment time or recorded attendance.

2Open and assign an event

Click the event name to open Edit Event. Review its type and current status. Assigned To lets you select several individual employees. Crews selects crew groups. Filter each picker, check every intended entry, and clear unwanted selections before saving. Assigning an employee does not automatically grant that person a user login or access to every job file.

3Set the booking date and time

Enter Start Date and Sched Time. Choose a duration or edit End Time, then check the resulting interval. Use Notes for instructions the assigned person needs. Save and wait for confirmation; reopen the event to verify its date, start/end and assignments. Where a revision-note dialog appears, add the reason for the change or use its offered skip option.

4Maintain status and actual work

Choose the event status that matches your shop's process. Date, assignment and status are different fields: a Confirmed label alone does not supply a missing date. Recorded actual start/end values describe work performed; do not use planned times as proof of attendance. Clear a job event's date to remove its calendar booking when returning it to unscheduled work, then verify the result.

5Insert existing work from the calendar

Open Schedule and choose Appointment → Insert Job Event, or use an add control on the intended day. Search by job name, account or type and select the existing unscheduled event. Its editor opens with the selected day; review time, status and assignments before saving. Canceling that editor leaves the existing event unbooked.

If you use the separate Or create a new event on a matching job option, it creates a new event first, then opens the editor. Inspect that new event even if you close the editor. Avoid creating a duplicate when the required event already exists.

6Create an appointment or lead visit

Choose New Appointment. Enter its name, status, date, start/end times, assignees and notes. Job / Lead is optional: search and select the actual result when the visit belongs to one. A selected job creates job-linked work; a selected lead keeps the appointment associated with that lead. Without either selection, it is a standalone calendar appointment. Insert Lead Event opens this same appointment form so you can select the lead.

Today sets the date; Current Time sets the planned start. End Now sets the end clock field. These controls edit the appointment and do not start or stop attendance tracking. Confirm the interval before Save.

7Repeat a booking

Use Repeat to choose daily, weekly or monthly timing, an interval, and an ending count or date. Review the generated occurrence dates. Repetition creates separate dated events. Editing or deleting one occurrence does not automatically update every other occurrence. Check the dates before repeating a customer visit or a production booking.

8Edit, duplicate or remove an appointment

Click its calendar card to reopen the editor. Replace or clear individual and crew selections and save. Duplicate copies the current appointment details into another event; inspect the copy's date, title and assignments. Delete removes a standalone appointment rather than moving it into a job's Deleted activities list. Read each confirmation before proceeding.

9Update several job events

On the job, choose Select Multiple. Tick individual event rows or Select all events. Set status applies the chosen status to the selected events. Assign replaces their assignment with the selected person or crew; Unassigned clears it. This bulk picker makes one assignment choice, so use each event's editor when you need several people and crew groups. Wait for the result and check any error before assuming all selected events changed. Done leaves selection mode.

10Delete and recover job events

With events selected, choose Delete and read both confirmation prompts. Job events move to Deleted activities below the event table. Revive restores the chosen event; wait for it to return before restoring the next. Delete permanently is a separate, irreversible action. Review the date, assignments and calendar after recovery.

11Choose a layout and date range

Schedule places dates in rows. Week puts days in columns and can load further weeks as you scroll. Month summarizes activity counts by day; click a day to open its schedule. Use the date arrows and Today to navigate. The displayed range tells you what is loaded. Focus hides the side menu and top bar on desktop; toggle it again to restore them.

12Move a booking to another day

In a view that supports it, drag the card to the intended day and wait for the save. Reopen it to verify the date and preserved time. Dropping a job event into another activity-type column does not change its activity type; a plain date drop marks that job event Scheduled. In Assignee or Status layouts, dropping into another bucket can change that assignment or status too. Review all affected fields after a drop.

13Review and adjust the time grid

Choose By Time to see timed blocks, gaps and overlaps. Use the card's drag handle to move a timed booking, or pull its left/right edges to change the interval. Time-grid movements snap to 15-minute steps. Reopen the event to verify exact start/end values. Untimed work needs a saved start time before it can be positioned like a timed block. An overlap is a planning signal, not proof that the assigned crew can perform both jobs.

14Separate rows or restagger overlapping work

Duplicate beside a By Time activity row adds a display lane; it does not create another job or event or change booking times. Remove a duplicate row to return to the previous layout. Restagger previews overlapping bookings back to back. Review the proposed intervals, then choose Cancel to discard them or Save & Sync to persist the new times. Reopen affected bookings afterward. Restagger does not add travel time, resolve every crew conflict or confirm changes with customers.

15Use filters deliberately

The Activity and Status controls narrow the loaded work and support several selections. Clear removes those quick filters. Customize includes crew, individual assignee, material status, material type, job-form state/answers and configured Job Info filters. The global location switcher scopes the schedule; the Location choice inside Customize narrows the people/crew choices. Clear filters and check dates when an expected event is missing. Global header search is separate from the calendar filters.

16Choose columns, rows and buckets

Open Customize. Columns can represent Activity Type, Assignee, Status Type, Time of Day, Days of the Week or Job Info. Available row choices depend on those columns; an Assignee column layout uses dates as rows. Add or remove selected buckets and drag them to reorder. Several assignees can make the same event appear in several assignment buckets; that does not create duplicate event records.

17Choose what cards show

In Card Display Fields, select the useful details: account, job/name/number, crew, event type, time, status, address, area, material, purchasing/receiving information, template approval and notes. Use the live preview to check readability. A card field changes presentation; it does not update the underlying job, inventory or approval.

18Set layout, colors and density

Review Base View, Days To Show, Start of Week, time-window controls where available, Color By, material choices, Card Style and daily area totals. Company default makes the week start follow the shop setting. Bubble separates cards; the merged style groups them more tightly. Colors help identify types, statuses, crews or materials; check the legend instead of treating a color alone as confirmation. These view choices do not change event status or price.

19Apply temporarily or save a named view

Choose Apply after customizing. Use temporarily applies the view without creating a saved view. Save as a new view requires a name and a visibility choice: Shared with team or Just me. The default choice is per user. Read any overwrite warning before reusing a name. Views lets you select saved configurations and return to the standard view. Avoid replacing a shared team's view while experimenting.

20Review routes and communication

Route opens a day or seven-day crew selection for template/install travel. Check the route date, crew, shop origin and job addresses. Driving calculations require configured Maps access and valid addresses. Review the current route and any offered best-route comparison before applying a new order. Saving optimized order can change scheduled times and open customer reconfirmation controls. Select recipients and messages deliberately; a route calculation or reschedule is not proof a customer received a message.

21Export or print the schedule

Export downloads a CSV for the loaded range and active filters; Month uses the displayed month grid's range. It includes event titles/types, account/job, status, start/end, duration, assignees/crews and address. Review the downloaded rows before sharing. Hidden card fields and column buckets are display choices, not additional CSV filters. Print opens the browser's print flow; inspect the pages, destination and scale before printing or saving a PDF.

22Verify the handoff to the crew

Reopen the saved event on the job and calendar. Confirm the site, date, time, assignments and notes agree. Review the Crew App using the assigned person's permitted view and your shop's configured sections. Event assignment, access, file visibility and customer communication each need their own check. Article 14 covers the Crew App in detail.

Check the result

  • The job and calendar show the saved date, start/end, status and all intended assignments.
  • Filters and view layout explain which records are visible; exported rows match the intended range and filters.
  • Repeated, duplicated and revived events have been reviewed individually. The crew has the required access and project information.

If something looks wrong

  • If an event is missing, check its date, phase, status/type filters, global location and selected column buckets. A saved view may be applying older filters.
  • If an assignment is missing, reopen the event after Save and distinguish individual employees from crew groups. An employee record is not necessarily a login user.
  • If times differ between locations, review company/location time zones and the 12/24-hour display. Display format does not change the booking.
  • For routing failures, check the shop origin, job addresses and Maps configuration. Do not create duplicate events to repair a route or a filtered view.
