Set up reusable event templates

Define job events, offsets, durations and multiple default assignees.

Before you start

  • Prepare the activities, responsible people and timing rules your shop actually uses. Your role needs the relevant Events template permissions.
  • Templates create new work. Editing a template does not reschedule or reassign existing job events. Use a practice job to check a new workflow before making it a default.

1Find the Events template list

Open Settings → Templates → Events. Search by template name. The list shows the number of activities, location, event labels and whether a template is a default. Sort the available column headings or use the page controls to find a template.

Create opens a new template. Click a row or its Edit pencil to change an existing one. The Delete action removes that template after confirmation; it does not remove events already created on jobs.

2Review the available types and statuses

Manage opens Manage Events & Statuses. Event types describe the work, such as Measure, CNC or Install; statuses describe its progress. Select a type or status row to inspect the live card preview.

This is shared shop configuration. Adding, renaming, hiding, restoring or changing colors uses that control's own save behavior; several controls save immediately. Closing Manage does not undo saved changes. The scheduling guide covers these controls in detail.

Available names depend on your shop. Hidden types are omitted from the new-row palette, while existing template rows retain their stored selections.

3Name the workflow and choose its location

Give Template Name a clear purpose, such as Standard Kitchen or Supply Only. When locations exist, choose a specific location or All Locations (global). Review the location on the saved list.

The location identifies the template's scope; it is separate from assigning a person and from the job's street address. Check the actual template selected whenever you convert a quote.

4Separate default creation from scheduling

Auto-create these events on new jobs marks the template as a default. Saving a new default replaces the previous default in that same location scope. Direct job creation checks a location-specific default before falling back to a global default.

Auto-schedule these events and place them on the calendar is a separate option. With it off, the template creates unscheduled events. With it on, dates and times are calculated from the offsets and shop hours, except events waiting for a status condition.

Leave Auto-create off while testing a template. You can still choose that template explicitly during conversion.

5Add the activities

Click an activity type in the left palette to append it. Drag a type into the activity list to insert it at the indicated position. Add the actual work your workflow requires, rather than copying another shop's list blindly.

The row number shows display order. Each row also has its own type, label, day offset, anchor, status condition, default assignees and hours.

6Edit the type and template label

Use Type to choose the kind of event. Label identifies that step within the template and in the Offset from choices, which helps distinguish similar rows. Changing Type resets the label to that type's default name, so set the type before customizing its label.

Generated job events display the shop's activity-type name. A template label is not a separate custom job-event title. Reopen the saved template to confirm the labels you intended to keep.

7Set signed offsets and anchors

Day offset is a whole number of calendar days relative to Offset from. Zero uses the anchor date; a positive number is after it; a negative number is before it. For example, -2 means two calendar days before the chosen anchor, before any adjustment for closed days.

Choose Job Creation or another row. A phase-created template uses the phase creation date as its starting point. The anchor is not automatically the row above. Build a clear chain without circular dependencies.

8Wait for an anchor's status

Choose another event in Offset from to enable When status is. Select one or several statuses. Any one of the selected statuses can release the waiting event; the condition is about the anchor's status, not the new event's status.

Any Status leaves the event eligible for scheduling at creation according to its offset. A specific condition keeps it unscheduled until that condition is met. Auto-schedule must also be enabled.

A triggered date in the past is moved forward to today and then to an open day. A manually dated event is protected from being rescheduled by the trigger. Check the actual job events when a workflow has repeated activity types.

9Choose multiple default assignees

Open Auto assign to, search for a person and select every intended entry. Search again to add another person. Clear an entry by selecting it again; an empty selection shows Unassigned. Close the picker and reopen it to verify all selected names.

The choices come from the shop's active employee list used by scheduling. Existing selections missing from the active list remain visible for review. Check the resulting job event: an inactive or unavailable entry must not be assumed to receive an assignment.

10Set duration and open-day behavior

Enter Hours for the intended duration; decimal hours are supported, such as 1.5 for ninety minutes. Auto-scheduled events begin at the shop's opening time and are limited by closing time. Check the resulting start and end times; this template setting is not a crew-capacity planner.

Skip weekends moves weekend dates to the next open weekday. Shop workdays and blocked dates also apply, so Monday is not guaranteed to be available. Offsets count calendar days, then the result is adjusted to an open day.

When auto-scheduling is off, events have no booked dates or times. Schedule them deliberately on the job and check the duration there.

11Reorder or remove a row

Drag the grip to reorder activities. Labels, assignments and offsets move with their row. Existing anchor links follow the referenced row rather than its old position.

Remove deletes a row from this template draft. A dependent row whose anchor was removed falls back to Job Creation. Review its offset and status condition before saving; a status condition has no effect while its anchor is Job Creation.

12Save and reopen the template

Enter a name and add at least one activity to enable Create. Use Create for a new template and Save for an existing one. Wait for the editor to close, then reopen the saved row.

Check location, default and scheduling options, row count, anchors, status conditions, all assignees and hours. Cancel discards the editor's unsaved changes. It does not roll back a template saved earlier.

13Test it during quote conversion

Open a practice quote with an account and choose Convert to Job. Select the intended event template explicitly. The dialog shows its name, event count, default badge and auto-scheduling indicator; it does not preview individual event rows.

No events creates a job without template events. Cancel leaves the quote unconverted. The final Convert to Job marks the quote Won and creates or links its job, so use it only for the intended record.

14Verify the generated work

Open the resulting job's events. Confirm each type, row order, every default assignee, dates and start/end times. An event waiting on a status should remain unscheduled until its anchor reaches a selected status.

After a status trigger, check the released event and its calendar entry. Verify its duration and adjusted date. Editing the template afterward affects later creations; use the job's event controls to change work already created.

15Use the editor on a smaller screen

On a narrow screen the activity palette appears above the template rows. Scroll down to the rows, then scroll across the activity table to reach every setting. Fields keep readable widths rather than being squeezed into individual letters.

The footer keeps Create or Save and Cancel available. Review the full row and selected names before saving, especially after changing screen size.

Check the result

  • The saved template has the intended location, default scope, activities, anchors, conditions, hours and assignees.
  • The practice job's actual events and calendar match the intended workflow, including any waiting events.
  • Existing job events remain unchanged by later template edits.

If something looks wrong

  • If Create is disabled, enter a name and add at least one activity.
  • If a type is missing, review the shop's Manage settings and your permissions.
  • If dates are unexpected, check Auto-schedule, Offset from, the status condition, closed days and blocked dates.
  • If an assignee is missing, confirm the employee is active and inspect the generated job event.
  • If a label changes after changing Type, set the desired template label again.
  • On a small screen, scroll the activity table horizontally to reach its remaining controls.
