Template corrections and change orders

Correct field dimensions, revise the original scope or price a separate add-on, then review the changes and obtain approval.

Before you start

  • Open the correct job and identify its primary quote. Review the quote number, project address, selected materials and the approved or signed version before editing.
  • Use Template Correction for measured field corrections, Change Order to revise the original quote's scope, and Separate add-on for optional work priced on another quote attached to the job.
  • Editing, publishing a portal revision, emailing a document and obtaining customer approval are separate actions. Confirm that your role allows the action you need.

1Identify the original quote and choose the workflow

On the job detail page, find Quote Summary. Go To Quote opens the linked quote's detail page. Below the summary are Change Order, Separate add-on and Template Correction when available.

Template Correction and Change Order reopen the existing primary quote. Separate add-on creates another quote. Choose based on whether you are replacing the original scope or offering additional work separately; do not charge the same work in both places.

2Open a template correction

Choose Template Correction. The opening dialog offers I'll correct by hand, Upload DXF, Move existing pieces aside and Close. A locked original quote is unlocked through this workflow when permitted.

The comparison retains an existing baseline when one is already present. Later, read Compared with in Summary & Pricing to identify the revision being compared; reopening is not a general reset of the comparison.

3Enter the field dimensions by hand

Choose I'll correct by hand. In Draw & Apply Edges, click the relevant dimension label, enter the measured value and confirm it. Check the resulting outline, depth, edges, cutouts and seams rather than relying on the number alone.

For example, increasing a run from 120 to 126 inches can change material, fabrication, installation and edge quantities together. Undo reverses an unwanted edit. Use the drawing and cutout guides for the detailed editing tools.

4Move the original pieces aside for comparison

Before a DXF comparison, the opening dialog's Move existing pieces aside button shifts the existing drawing to the right. Its label includes the current piece count and changes to Pieces moved aside after use.

This moves the actual drawing and its attached content; it is not a zoom or a temporary picture. The old pieces still exist and can still contribute to pricing. Compare the geometry, then remove superseded pieces before saving the final scope. Undo is available if you moved the pieces unintentionally.

5Import and inspect the field DXF

Choose Upload DXF to open Import DXF, then use the drop area or click it to choose the templater's file. Verify Units and the layer translation choices. Read the detected-counter summary and warnings before confirming the import; use Choose a different file when needed.

Some files contain a generic outline duplicated by dedicated finished-edge and splash layers. Inspect those layers together; keeping the generic outline can take precedence over the edge overlays. Ignore a duplicate or reference layer only when the remaining layers still form the intended closed outlines. Do not ignore your only countertop boundary.

Inspect the result on the canvas against a known dimension. Check outlines, cutouts, curved edges and strip pieces. The importer attempts to place pieces with similar existing pieces' area assignments, so verify each area's material, edge and thickness after import.

Keep only the intended final pieces. Moving originals out of view does not remove them from the quote, and importing is not proof that every unusual DXF entity has been interpreted correctly.

6Use Change Order for changes to the original scope

Choose Change Order below the job's Quote Summary or in the quote-detail toolbar. The dialog identifies the existing quote and offers Edit change order, Upload DXF and Move existing pieces aside.

A new change-order round archives the pre-change version and captures its comparison. Reopening the same unfinished round retains that comparison. This workflow keeps the same original quote and job; it does not create an additional billable quote.

7Update all affected work

Use the normal drawing, cutout, material and pricing steps to add or remove pieces, change materials, revise quantities or add an area. Review all affected areas after replacing field geometry.

In Summary & Pricing, use an area's plus button for items that belong to that area. Use Other Items for general charges. A negative miscellaneous price represents a credit. A plain text item explains scope without adding a charge; a subnote belongs immediately under its parent line item.

8Read the line and scope comparisons

On the first colour option in Summary & Pricing, inspect Changes since template correction opened or Changes since change order opened. Read the Compared with quote number and revision.

Affected lines identify added or removed work, quantity differences and unit-price changes. The summary also describes scope changes such as added or renamed areas and drawing changes. Review zero-price changes as carefully as priced work; unchanged dollars do not necessarily mean unchanged scope.

9Reconcile the previous and revised totals

Check Previous total, Total change (including tax and adjustments), and Revised total. Previous total plus the total change should equal the revised amount.

For example, a new $150 item taxed at 5% increases the total by $157.50. The final difference includes applicable tax and adjustments, so adding only the material-price differences can produce a different number. Also review the quote's payment terms and deposit after changing the total.

10Save the revision with a useful note

Open Save and choose Save & Exit when the changes are ready. Enter a short revision note describing the reason and scope, then choose Save with note & exit. Skip note & save is available when no note is needed.

After the save finishes, confirm the quote number, linked job and total on quote detail. Saving does not by itself email the customer or prove the customer accepted the revised work.

11Review the approval and signature choices

After saving from the correction workflow, Template correction saved or Change order saved offers Send contract for signature, Send quote for approval and Not now. Choose Not now if the document still needs review.

The sending choices enter the usual customer communication flow. Inspect the recipient, selected document and message before the final send. Approval and contract signature are separate outcomes; use the appropriate workflow for your shop's requirements.

System emails use the SlabOS mailing engine by default. To use Gmail or Outlook for system emails, the sending user must connect that mailbox and enable Send system emails as me. Connecting alone does not switch delivery. Personal mailbox synchronization and replies are separate from these system-email actions.

12Preview the revised customer document

On quote detail, confirm the selected quote or contract template and open its Preview. Review the actual PDF pages, including the drawing, change explanation, previous and revised amounts, tax, terms and page breaks.

Inspect the customer-facing result rather than assuming the editor's internal comparison has the same visibility settings. Correct the document or template before using the final sending controls.

13Publish the intended portal revision

An existing-quote change order keeps the previous portal revision until it is updated. When Portal is N revisions behind appears, use Update Portals only after the saved revision and customer document are ready.

Publishing changes what the customer portal displays. It does not substitute for sending a message or obtaining fresh approval or signature. Review the intended portal version before asking the customer to approve the revised work.

14Review the revision history

Open Revisions to see saved versions and their notes. A new existing-quote change-order round includes an archive labelled Before change order opened. Select a revision to inspect its drawing and pricing snapshot.

Use the history to understand what changed and when. Keep earlier signed records available in Files when present. A revision snapshot, a sent document and a signed document serve different purposes.

15Create a separately priced add-on when appropriate

For optional work that should remain separate, return to the job and choose Separate add-on. This creates a blank quote attached to that job and opens its editor. Review the inherited project and pricing details, then add only the extra work and any credits.

Its Summary & Pricing heading is Change order — additions and credits. The Change order total is the amount for this separate document, not the replacement total of the original quote. Save it and review its own customer document.

16Review an add-on's job-total and portal status

Back on the job, expand the add-on card to inspect its drawing, items and total. An unaccepted add-on is marked Not counted and appears in Pending (not counted); its amount is excluded from the job's accepted total.

Accepted adds that add-on to the job total. Record acceptance only when the customer has agreed. Show on Portal is a separate control and is unavailable until acceptance. Generating an invoice is another separate action; do not create one just to test the card.

Edit change order returns to that add-on. Detach removes its job association while keeping the quote itself. A signed add-on is fixed; use another add-on for subsequent additions or credits rather than trying to alter the signed one.

Check the result

  • The intended original quote or separate add-on is attached to the correct job.
  • Only the final pieces remain, with the correct areas, material, edge, thickness, fixtures and quantities.
  • The comparison identifies its starting revision, explains scope changes and reconciles previous total plus change to revised total.
  • The saved customer PDF, portal revision and requested approval or signature all refer to the intended work.
  • Optional add-ons are counted only after acceptance; no work is charged twice.

If something looks wrong

  • If a comparison is missing, confirm that the original quote was opened through the correction or change-order workflow and that you are viewing the first colour option.
  • If the comparison starts earlier than expected, read Compared with and inspect Revisions. Reopening an unfinished workflow preserves its baseline; Template Correction does not automatically replace an existing baseline.
  • If quantities doubled after a DXF import, look for original pieces that were moved aside but never removed.
  • If the customer sees the previous version, check the portal revision warning and deliberate publishing step.
  • If Show on Portal is disabled for an add-on, check its Accepted status. Do not mark it accepted merely to enable the control.
  • A Gmail or Outlook connection is not required for SlabOS system sending, and connecting one alone does not enable personal-mailbox delivery.
