Preview, send and publish a quote

Check the actual PDF and control which quote or contract the customer receives.

Before you start

  • Save your drawing and pricing changes first. Confirm the customer, recipient and current total.
  • System emails use the SlabOS mailing engine by default. To send them through your own Gmail or Outlook account, connect that mailbox and enable Send system emails as me in its connection settings. Connecting a mailbox alone does not change system-email delivery.
  • Quote, Contract and Quote is contract are distinct controls. Use the document workflow your shop has chosen.

1Review the saved quote

Check the quote name, customer account, project address, recipient and total. Save any editor changes before previewing or sending. Drawing & Pricing displays the saved drawing and summary.

2Choose the document template

Select the intended template in the Quote row. It controls the PDF layout. The email-message template is selected separately inside Customize. A separate Contract row has its own document template and actions.

3Inspect the actual PDF

Choose Preview in the appropriate document row. Use zoom and Fit width, and scroll through every page. Check drawings, dimensions, page breaks, visible lines, notes, totals and terms. Download saves the generated document. Previewing and downloading do not send an email or record approval.

4Use the quick-send confirmation

The main Send to Customer button opens a confirmation. Review Sending To and the quote PDF template. In quote mode, the optional contract-template selection prepares a separate contract for later; it does not sign or send that contract. Confirm & Send submits the email; Cancel leaves without sending.

5Customize the message

Choose the small Send options arrow, then Customize. Select the Email Template before making final edits: switching templates can replace the subject and body after confirmation. The template-management control opens reusable email-template settings.

6Check all recipients and reply settings

To is the primary recipient. Cc adds visible copies; Bcc hides those copied addresses from other recipients. Use the offered Remove controls to clear an unnecessary copied-recipient field. Reply-To controls the reply destination; From displays the sender presentation. Inspect every address before sending.

7Edit subject and body

Template variables are already substituted from the quote. Review the Subject and Body, preserve the correct portal link, and explain the requested next step. Do not assume a template is suitable without reading its resulting text.

8Review AI suggestions

Enhance with AI proposes wording changes without sending. Read the suggestion and check names, dates, amounts and promises. Keep mine retains your draft; Use AI version applies the suggestion. If the text is unchanged, the composer reports that no changes were suggested instead of showing a review panel.

9Preview and send the customized email

Preview in the composer shows recipient details, subject and message; the final email adds the shop’s branded shell. Close preview returns to editing. This is separate from checking the PDF document. Send submits the customized email after your review; Cancel closes the composer.

10Restore or discard an unfinished draft

An unfinished composer draft can be stored in this browser and restored when reopening the same quote. Quote and contract drafts are separate. Discard resets the draft to template content. A saved local draft is not delivery and is not a shared team record.

11Choose the signing workflow

With Quote is contract off, the Contract row provides the separate contract template, preview, download, sending and signing link. With it on, the customer signs the quote itself at Approve Quote; the row changes to the quote-signing explanation and link. Changing this setting does not create a customer signature.

12Copy the intended link

Get Link in the Quote row points to quote review. The Contract row points to the signing surface. When the mark-sent prompt appears after copying the quote link, choose the status action deliberately. Copying or marking a quote sent does not itself email the link.

13Review engagement and portal revisions

Use Engagement and available delivery/portal records to review activity. Sent, viewed, approved, signed and converted are distinct states. Check approval or signature evidence before treating work as accepted.

For applicable workflows that freeze the portal to a sent revision, later saved edits remain unpublished until Update Portals. Review the content first: the button publishes directly. A behind warning compares the portal’s revision with the saved one. Preserve signed records and use the appropriate correction or change-order flow for later changes.

Check the result

  • The sent or linked document uses the intended template and current saved content.
  • The PDF includes the expected page breaks and prices, and the recipient is correct.

If something looks wrong

  • If the customer sees an older document, check which link or attachment they opened. Where Update Portals is available, review the published revision; saving and publishing are separate actions.
  • An email delivery or viewing status is not proof that a customer approved the work. Check the approval or signature record.
