Where to start
Settings → Templates → FormsBefore you start
- Have your approved wording, branding and representative short and long quotes ready. Preview uses sample project content; check real quote content before sending a document.
- Work in a clearly named copy while developing a replacement. A default template affects other users, and form fields can include internal information if you deliberately add it to the document.
- Available template tabs and fields depend on your access, document usage and shop features. Event templates, email templates and portal configuration have separate guides.
1Find the correct form
Open Settings → Templates and choose Forms. Search by name and check each card's usage, style, field count and default or inactive labels. Hover a card to reveal Edit, Duplicate, Activate or Deactivate, and Delete.
Duplicate copies an existing layout into a new template without making the copy the default. Rename the copy clearly. Deactivate retains a template for later use; Delete requires confirmation. Default job forms and the default document for a usage are separate settings.
2Create a template or review a PDF import
Use Create Form Template, enter a name and choose its Usage: Quote & Order, Job, Contract (signable), Template Approval or Invoice. Usage determines where the template is offered. Create a quote layout as Quote & Order and a signing document as Contract when those are the workflows you need.
Import PDF analyzes an existing PDF and presents detected fields for review. Check the name, usage, field types, keys and widths before creating the template, then inspect the result in the editor and PDF preview. Detection is a starting point; it does not guarantee that the original PDF's layout or meaning has been reproduced.
3Understand what saves immediately
The field browser is on the left, the layout canvas is in the middle, and the selected field's inspector is on the right. Adding, deleting, copying, moving or styling fields creates a draft. The Unsaved indicator remains until Complete saves those field changes.
Edit template info and Company header have their own Save buttons. Document-level controls such as style, page orientation and compact grid save as you change them; text and color inputs may save when you leave the input. Complete saves the field draft and returns to the directory. It preserves the template's existing default choice. Back asks for confirmation when field edits are unsaved.
4Add, find and insert fields
Expand a category in the field browser or use Search fields to find an item. Click a field to add it at the end of the layout. To insert between existing fields, hover the insertion line, choose its plus button and select a field from the chooser. You can also drag a field from the browser into the layout.
Select the field on the canvas to open its settings. A dynamic field such as Quote # reads the current quote's value when the document is generated. Changing Display name changes its printed label, not the quote's stored value.
5Arrange rows and manage field copies
Use the field's drag handle to move it to the intended position. Where width controls are available, choose ¼, ½, ¾ or Full. Fields share a row according to their widths, so two half-width fields can sit beside one another. Give long notes or addresses enough width; a narrow column can turn a paragraph into several pages. Preview the result with realistic content because a long value can make its row taller.
Hover a selected field to use its duplicate control when you need a similar block, or delete it and confirm removal. These are field-draft changes; Complete saves them. Check the order after dragging, especially near the top or bottom of the scrolling canvas.
6Choose customer and project information
Add the quote, account, contact and date fields needed by the recipient. The Quote/Order Address field offers individual inclusion controls for customer name, phone and email. Review these controls instead of assuming every contact detail will print.
Choose customer-facing notes deliberately. Internal Notes is a separate available field: adding it to a customer document can expose internal wording. Inspect a real quote to confirm that each dynamic field resolves to the intended record and address.
7Add wording, headings, separators and images
Use Text for a reusable statement: enter its heading in Display name and its wording in Value. Use the bullet option when the separate lines should appear as a list. Terms & Conditions, Disclaimer and Balance Notice have their own wording controls. Use wording approved by your shop.
Section headers group content visually. A Separator can draw a line with the chosen thickness and color, or use its supported filled-band treatment. The Image field accepts an image URL; it is not an image crop editor. A Company Logo field places the configured logo in the body with its own height and alignment controls.
8Style the cell, label and value
In the selected field's inspector, Cell controls the whole field, Label controls its heading, and Value controls its content. Use the available font, size, color, emphasis, alignment, background, spacing and border controls for the part you are changing. A label bar background and a value background can be different colors.
The outer border surrounds the field. Inner border separates its label from its value and uses the field's border color. Label position changes where the heading sits. Use a restrained set of readable styles and inspect the PDF at normal viewing size after changing small fonts, colors or spacing.
9Set template information and shared text defaults
Click a blank area of the canvas to show the Document inspector, then choose Edit template info. Review the name, Usage, Inactive setting and Default template for this usage. Select Default only when this template should replace the existing default for that usage; saving an ordinary edit does not require that choice.
The same dialog contains primary and secondary brand colors and form-wide text defaults. Apply form-wide text defaults to establish Cell, Label and Value styling for the form. Explicit styling on individual fields takes precedence. Use this dialog's Save button, then check the affected blocks in Preview.
10Configure the company header
Choose Company header from the Document inspector or click the header on the canvas. Set the logo and text arrangement: logo left, logo right, logo centered above text, or text only. A template can inherit the shop logo or use its own override. Review logo height, width and units rather than stretching it by eye.
Company details can use shop details, custom text for this template, or be hidden. Hide details when the logo already contains them. Custom text prints as entered, including blank fields. Choose font, text color and background, then Save this dialog. This configures the template header; company settings are maintained separately.
11Configure the counter drawing
Add Drawing and select it. Choose whether to include measurements, seams and material or slab imagery. Set the measurement font size and enable edge profile images above the legend when needed. Image output also depends on the quote's actual material and profile data.
Use Scale to fit one page for this block only when the whole drawing should stay on one page. Large drawings can become small when fitted, so inspect dimensions and annotations in the PDF. Feature-specific controls, such as tile layout, appear only where supported.
12Distinguish drawing and slab layout
Drawing shows the countertop drawing. Layout shows how the pieces are arranged on slabs. Add Layout when the recipient needs the material nesting view, then choose the available slab-dimension and piece-measurement options.
The preview's sample content may not contain the same slabs or nesting detail as your job. Verify this block on a quote that actually has the intended areas and slab layouts. Showing a layout does not allocate or reserve physical inventory.
13Choose the pricing detail to print
Price Summary controls whether to show line items, measurements, quantities, line totals and overall totals. Additional options include a retail-price column, per-area discounts and hiding slab count while retaining other measurements. Lines and Quote Details (No Pricing) provide different starting displays; inspect the selected block's settings.
These are document display controls. Hiding a price or quantity does not remove its charge from the quote calculation. Use the quote's Summary & Pricing step to change actual pricing. Check that the document exposes the level of detail intended for its recipient.
14Show alternatives and payment information
Color Options controls the display of alternative selections, their line items, prices and dimensions. Its selected-option setting determines whether the chosen option is included along with alternatives. Preview a quote with multiple color options to check the result.
Price Summary can show a deposit or the payment schedule. Displaying the payment schedule replaces the deposit line and uses the timed stages configured in the quote's payment term. Check the quote's selected term and amounts; the template does not create a payment or change what has been collected.
15Match payment-term wording to the quote
In a Payment Terms field, add body-text areas and assign each one to the appropriate configured payment term. The matching body prints for the quote's selected term; the default body supplies the fallback wording. Enter and review the content for every term this template must cover.
Select the intended body before changing its Cell, Label or Value styles. These styles apply to that body's content. Payment Terms wording and the calculated payment schedule serve different purposes, so verify both on the finished document.
16Prepare signing content
Add Customer Sign Off and review its heading, acknowledgement text and signature labels. The available layout control can show Accepted By and Date instead of Signature and Name. Add approved Terms & Conditions or disclaimer wording where required.
A sign-off field is part of the document layout. Creating it or previewing a Contract template does not send a signing request. After checking the saved document, use the quote's normal contract and customer-portal workflow when it is ready for approval.
17Choose Standard, Raw or Premium
Click a blank part of the canvas and choose the active document style. Standard uses the regular branded layout. Raw has its own controls for skipping page breaks, compact spacing and hiding drawings. Premium exposes its own accent and font choices, cover page, introduction letter and sign-off options.
Review the controls that appear for the chosen style. In particular, Raw's Skip page breaks setting can suppress page breaks you placed in the field layout. Document-style changes save immediately; inspect a new PDF after changing styles.
18Set page orientation and deliberate breaks
Set Page 1 orientation in the Document inspector. Add a Page Break field where the next page should begin, then select that break and choose Same as previous, Portrait or Landscape for the following page. This allows a landscape drawing page within a portrait document.
Keep a heading with the content it introduces and avoid unnecessary breaks after the final block. The editor canvas is a layout workspace; use the generated PDF to assess actual page boundaries and how content flows between your breaks.
19Control spacing, borders and fitting
Compact grid removes gutters between fields so adjacent bordered cells form a continuous table. Add border to all areas supplies a document-wide field border; a field with an explicit border retains its own choice.
Scale each page to one sheet fits the content between deliberate page breaks onto one sheet. This differs from Scale to fit one page on an individual field. Both can reduce readability when there is too much content. Use Hide field when blank where appropriate and check a quote with missing optional values to ensure the layout still reads naturally.
20Inspect the actual draft PDF
Choose Preview to generate a PDF using the current field draft and sample project data. The preview includes unsaved field edits. Review every page for drawing size, dimensions, table alignment, wording, colors, blank sections, totals and signing content.
Use zoom out, Fit width and zoom in for inspection. Download saves the PDF; Print opens the print workflow. Close the PDF preview to return to editing. A PDF that looks right with sample content still needs to be checked against real quote data.
21Complete, reopen and check real quotes
Choose Complete when the field draft is ready. Reopen the template to confirm its saved fields and options. If saving fails, keep the editor open, resolve the error and retry; do not assume that leaving the page saved the draft.
Return to a saved quote and select this template in the Quote or Contract row. Preview a short quote and one with several areas, long notes, drawings and alternative colors. Check the actual customer details, terms, amounts and signing content. Updating a reusable template is a separate action from publishing revised content to an existing customer portal.
Check the result
- The reopened template retains its completed field changes and the intended default or inactive setting.
- Short and long real-quote PDFs have readable drawings, intact wording, deliberate pagination, correct pricing visibility and the required signing content.
- Customer-facing output includes the intended information, and template changes have not been mistaken for quote-price edits, payments or a sent signing request.
If something looks wrong
- A missing field can be caused by its inclusion options, Hide field when blank, document style, usage or absent quote data. Check the relevant setting and the underlying quote.
- If a manual page break seems ignored, check Raw's Skip page breaks setting. Legacy imported breaks can remain suppressed; reselect the break's orientation in the editor and Complete to use it deliberately. If content becomes tiny, review both document-level and field-level fitting and split long sections across pages.
- If text colors or fonts do not follow form-wide defaults, inspect explicit Cell, Label and Value styling on the affected field or payment-term body.
- If a template is absent from a quote's selector, check its usage and inactive setting. Updating a template does not replace a previously signed document.
