- Open the correct job and confirm its account, site address and linked quote before copying a portal URL.
- Portal sections depend on saved shop settings and available project data. A section can be enabled but empty.
- Use a practice project for training. Opening a portal records access; customer confirmation, signing and payment controls perform real actions.
1Open the project portal from the job
In Job Info, find Customer Portal and choose Open portal. It opens the linked quote's customer project page in a new tab. Copy URL copies that same project link. Quote and Contract Get Link controls lead to their own document flows; choose the link that matches what you want the customer to do.
2Understand the private-link notice
A first visit shows Private Project Information. The visitor can enter an optional name and choose I confirm — continue to my project. Anyone with the link can view its project information, so send it only to the intended recipient.
The notice is remembered in that browser for that project. Access is logged. Typing a name is a visitor's identity claim; it is separate from the email verification used for contract signing.
3Check the quote and project status
Read the project name, quote total and approval status. Accepted change orders appear only when the shop also makes them portal-visible. Check the scope shown before discussing a total with the customer.
Approve Quote is an action, not a preview button. Where the quote is configured as the contract, approval leads into the signing flow. Other quotes can be approved directly. An accepted quote, a signed contract and a paid invoice are different records.
4Use the enabled drawing and PDF controls
When Drawings and the relevant sub-options are enabled, use 2D for the plan and 3D for the model. Available buttons also depend on the quote containing drawing data. PDF downloads the quote document using its template.
AR is offered with a supported 3D model. Its View in your space experience depends on the device and browser; a desktop 3D view is not proof that a phone's AR session will work. Use the regular plan and PDF to review dimensions and scope.
5Check which quote revision is published
Some shops and quote-change workflows hold a published document snapshot. When Update Portals is available, save the intended quote edits, review them and use that control to publish them. A portal-behind warning identifies newer saved revisions the customer cannot yet see. Reopen the portal after publishing.
A quote without a pinned portal revision uses the current document. Do not assume every shop has an Update Portals button. Publishing a quote snapshot affects its document; job progress, phases, files, photos and invoice information continue to update separately. Earlier signed documents remain part of the signing record.
6Read the scheduled timeline
Your project shows the applicable stages and their progress. A job activity needs a linked calendar event before it reaches the customer timeline. Its calendar date and time take precedence over a date stored only on the activity.
Client Portal settings can limit the visible activity types or hide scheduled dates. If a visit is missing, check its calendar booking and the shop's activity-type selection before adding a second event.
7Review project phases
When portal-visible phases exist, Project Phases lists their names and progress, along with available target dates, dependency notices and configured team faces. Read the details directly on each card. A phase's Show on Portal choice controls whether that phase is returned to this view.
Check phase names, dates and progress before sharing the link. A phase that is waiting for an earlier phase can show that dependency instead of appearing ready to start.
8Understand crew cards and live location
Crew and contact cards appear when the section is enabled and the project has the relevant people or contact details. Displayed team faces can be configured separately from calendar assignments.
A live crew marker requires an in-progress visit and a recent location from its resolved assigned crew. Calendar assignees take precedence when present. A position older than 15 minutes is not used; an unrelated employee's position is not a replacement. Check assignment, activity progress and device location access when a marker is missing.
9Choose documents for customer review
On the job's files, enable Show on Portal for each document the customer should review. These files appear in Measurements & Documents when that portal section is enabled. Crew file visibility is a separate choice.
PDFs and supported images can display inline. Download opens or saves the actual file; a file without an inline preview can still be downloaded. Check the file's contents and version before sharing it.
10Explain confirmation and disputes
For a pending document, I confirm this is correct records its confirmation and notifies the shop. Not correct opens a reason form. The customer must describe the issue before Submit dispute becomes available; Cancel closes without submitting.
Submitted disputes show the reason and a Disputed state. These controls review one file. They do not replace quote approval, contract signing, template-drawing signoff or payment.
11Check the photo gallery separately
The Photos gallery uses the job file's category: before, after, site survey, install, template or finished. This is independent of the Show on Portal document checkbox. Check both the category and the document flag when deciding where a file should appear.
When Job photos is enabled and eligible files exist, select a thumbnail to open the larger image. Multiple categories provide filter buttons; use All to restore the full gallery. A hidden Job photos section does not remove a file separately shared in Measurements & Documents.
12Review invoices and payment links
Payment appears when enabled and the job has applicable invoices. Read Invoiced, Paid and Balance, then check each invoice's number, date, amount and state. Voided invoices are excluded.
Pay now is offered for an unpaid invoice with a QuickBooks-hosted payment URL. It opens that payment page in a new tab. If the button is missing, check the invoice and QuickBooks payment setup. Do not confuse the quote total with an invoice balance or use a practice walkthrough to submit a payment.
13Use contact, signing and revision links appropriately
Call, Email, Directions and the shop website open their respective contact destinations when configured. Review links depend on the shop's Google review setup and project state.
A contract signing page verifies the signer by an emailed code, then collects the signing details and agreement. Requesting a code sends an email; Sign Contract submits the signature. Quote revisions and template-drawing approvals have their own flows, covered in the related guides below.
14Open the Client Portal settings
Go to Settings → Templates → Client Portal. The panel controls the customer layout for the shop. Its small Customer portal preview is a schematic layout example; check a real project link to confirm actual project content.
The ten configurable sections cover Happening today, Drawings, Sales rep, Install crew, Project timeline & phases, Measurements & documents, Job photos, Payments & invoices, shop contact and Google reviews.
15Arrange and show the sections
Drag a section row to change its order. Use its eye button to hide or show it. The schematic preview updates as you edit. Hiding a section changes the portal display; it does not delete the underlying job, file or invoice.
Drawings has separate 3D view, 2D plan and PDF download checkboxes beneath the overall section visibility. Scheduled dates is a separate option on Project timeline & phases.
16Select activity types and quiet mode
Leave Show ALL activity types checked to include every scheduled type. Uncheck it to choose a specific set, such as Measure and Install. Use your shop's actual type labels. Saving an empty selection means all types; to hide the timeline, use its eye button.
Quiet-mode message supplies a short customer note when the timeline is off, such as how the shop will confirm the next visit. Keep it within the 500-character limit and avoid promising dates the calendar does not support.
17Save and recheck the customer view
Choose Save Portal when the draft is ready. It applies the portal settings to the shop's project links. Reload or reopen the settings to verify the saved choices, then open the intended project portal and inspect its content at the screen size your customer uses.
If you are only exploring the controls, leave without saving and reload to discard the draft. The preview can show placeholder cards even when an actual project has no data for that section.
18Review engagement before following up
Use Portal Log on the job, or the portal activity area on the quote, to inspect access and document actions. Office views, visitor identity claims, confirmations and signatures have different meanings. A view alone does not mean the customer approved the project.
Copy the intended link only after checking the customer, project, document version and visible content. Send it through your normal communication controls when you are ready.
Check the result
- The project, address, quote version and intended total agree with what you are sharing.
- Scheduled visits, visible phases, document flags and photo categories produce the intended customer view.
- Saved shop settings match the reopened portal; any missing card has been checked for both visibility and data.
- Document reviews, quote approval, contract signing and payment are understood as separate actions.
If something looks wrong
- An older quote may be a published snapshot. Check for Update Portals and a portal-behind warning; this workflow is not enabled for every shop.
- A missing timeline visit needs a calendar event and an allowed activity type. Hiding scheduled dates can also remove its date display.
- A photo can be in the gallery without its document checkbox. Check its category, the Job photos section and any separate Show on Portal flag.
- No live crew marker can mean the visit is not in progress, its assignment is missing or its location is stale.
- A missing payment button requires an unpaid invoice with its QuickBooks payment URL; turning on Payments alone does not create one.
