Create and track team tasks

Create personal reminders, link job or quote work, assign teammates and review task history.

Before you start

  • Use a task for an action someone must finish. Use a scheduled job event to book a visit, crew time or a production slot; creating a task does not create a calendar appointment.
  • Identify the responsible person and, where applicable, the exact job, quote and phase. Check your access before assigning work or opening Team view.
  • Assignment and completion can notify teammates and add a record-board post. Review recipients and the linked work before saving.

1Open your header task menu

Click the checklist icon labelled My tasks in the main header. Its badge counts your open tasks. Inside the panel, My Tasks contains tasks you created for yourself; Assigned contains tasks someone assigned to you. Each tab shows its own count.

The header panel is for quick creation and updates. Pipeline → Task Tracker gives you a larger searchable history; its My Tasks view includes both self-created tasks and work assigned to you.

2Write a useful personal task

On the header panel's My Tasks tab, enter a short action in Add a task, such as Confirm the appliance dimensions. Use Description for the model, missing information or next step so the title remains easy to scan.

Enter in the title field submits the task. Complete the description, link, date and label first if you intend to save them together; otherwise use the Add Task button when ready.

3Link one quote or job

Use the quote/job picker in the task form. Search by a recognisable number or name, then select the correct result. The selected chip identifies the linked work. Remove its link to choose a different result or keep a general task unlinked.

This picker tags one quote or one job. It is not an account link or a customer email. After saving, the chip opens that quote or job, subject to your access.

4Choose the personal label and due date

Choose an available personal label to categorize the task. Clicking the selected label again clears it. A label such as Waiting on Material helps you filter work; it does not change a job status, assign a crew or create a scheduling rule.

The header form's optional date is a reminder for the selected day. For a job or quote reminder at a particular time, use that record's Add New Task form, which also has an optional Time field.

5Save and inspect the task

Click Add Task and wait for the saved row. Check the title, date, label and record chip. The description arrow expands or hides its details. A successful save clears the new-task inputs so you can enter another task.

Reopen the header menu or Task Tracker to verify the saved result. A task title describing an email or phone call does not perform that action for you.

6Edit a task

Hover over the task row and click its pencil, Edit task. Update the title, description, personal label, due date or linked quote/job, then Save. Cancel closes the editor without saving its draft.

Editing the title or description preserves an existing timed reminder when you leave the date unchanged. Clearing the date removes the reminder; choosing another date in this date-only editor sets the new day without a specific time.

7Complete, reopen or delete

Click the task's square completion control when the work is finished. Completed tasks remain visible with a crossed-out title. Click again to reopen; the control changes between Mark done and Mark not done.

The header shows a trash control for self-created tasks. Delete removes the task; it is different from completing it and there is no restore control in this panel. Assigned tasks do not show that same trash control. Use only the actions available to your account.

8Assign from the header

Users with the appropriate management access also see Assign a task. Enter the title, description and optional date, select a teammate, and optionally link a quote or job. Review the selected person's chip before submitting.

Choose an available assignee flag, such as Urgent or New Quote, when it conveys useful context. These shop-wide flags are separate from your personal labels. Assign Task creates work for that person and can notify them; it is not a draft-save button.

9Create directly from a job or quote

Open the correct record and use its Tasks menu → Add New Task. The editor shows the record it is tied to, so you do not need to look it up again. Use a phase's task control when the work belongs specifically to that phase.

Choose Add task for me for your own work. Where your permissions allow it, Assign to someone else opens the teammate selector. Record-linked assignment and tracker-wide assignment have different access rules; having access to one does not imply access to every team-management view.

10Set a record reminder and its audience

In the record task editor, enter Task and optional Details. Review Reminder date, which starts at today, and optionally enter a Time. Leaving Time blank places the reminder at the beginning of the chosen day. Check the saved date and time in the task list, particularly when colleagues work in different time zones.

In assignment mode, select one owner. Also notify lets you select additional teammates who should receive assignment and completion updates without becoming the owner. Review these recipients before clicking Assign Task. Cancel closes an unfinished example.

11Understand notifications and board posts

Assignments can create a notification for the assignee. Also notify recipients receive an FYI notification. Completion may notify the relevant teammates and post a replyable task update to the linked phase, job or quote board. Check the actual task status and notification preferences when following up.

These task updates are not proof that a customer received an email. When you use a separate system-email action, SlabOS sends it by default. Your connected Gmail or Outlook is used for system emails only after you enable Send system emails as me. Connecting a mailbox alone does not enable that setting.

12Review all tasks on a record

On a job or quote, use Tasks → View All Tasks. This view includes tasks linked to the record from any team member, including tasks tagged through the header. Read the owner, assigner, description and due/completed information.

Open tasks appear before Completed. Scroll inside a long task list to reach the remaining rows. This is a record review view; use the available personal or job-status task controls to change completion rather than treating the status symbol here as an edit button.

13Use the full Task Tracker

Open Pipeline → Task Tracker. My Tasks shows your own tasks, including assigned work, with linked records and created, due and completed information. The search readout counts the matching open tasks and total matching tasks.

Use its completion control to mark your work done or reopen it. For title, description, label or link edits, use the task's pencil in the header panel. The tracker does not have a separate new-task form.

14Search task content and record names

Type into Search tasks, descriptions, quotes, jobs, labels. Search can match the title, description, quote or job number, record name, personal label or assignee flag. Clear the input to restore the full list within your current filters.

The tracker search filters tasks on this page. The application's global header search is a different tool for finding records across SlabOS.

15Apply status, label and creation-date filters

Click Filter. Choose All, Open or Done, select personal categories if needed, and optionally set Created between dates. This date range filters when a task was created, not when it is due.

Click Apply to use the draft filter. Clear all resets the choices inside the dialog; click Apply afterward to clear the active filters. A filter badge shows how many criteria are active. Search and filters work together, so both can hide an expected task.

16Maintain personal label colors

Go to Settings → Profile → Task Labels (Personal). Use Add Label, enter a name and choose its color. Review the preview chip. Remove label takes a row out of the draft list; Save Labels saves this section independently of the company-settings save controls.

Personal means the label belongs to your own task organization. Managers reviewing your tasks in Team view can see the resolved labels; do not treat them as private notes. Removing a label does not delete its tasks.

17Maintain shared assignment flags

Authorized settings users also see Task Labels (Assignee). These names and colors belong to the shop and are offered when assigning tasks. Use the section's Add Label, color picker, Remove label and Save Labels controls.

Agree on meanings such as Urgent, New Quote or Followup so the team reads flags consistently. Saving a shared flag configuration has a wider scope than changing a personal label.

18Review an employee's work

Authorized users can choose Team in Task Tracker. Select an employee, then switch between that person's self-created Tasks and Assigned Tasks. The employee list includes open counts to help choose whom to review.

The selected-person search applies to that person's current tab. These team task rows are for review; use the appropriate task or record controls when an authorized change is needed. Clearing a search does not switch the selected employee or task tab.

19Search across the company

At the top of Team view, Search ALL company tasks searches both personal and assigned tasks across employees. Results identify the task owner and, where present, the assigner and linked record.

Use this search to check whether someone is already handling the work before creating another task. Clear it to return to the employee list and selected-person view.

20Read the right change log

My Tasks → View change log shows your task activity, including work assigned to you. In Team view, an employee's changelog covers that person's self-created tasks. Company Changelog covers assigned-task activity across the shop.

Read the action, actor and timestamp. These views currently return the latest 500 matching entries; an absent older entry is not proof that nothing happened. Task history is distinct from the linked job or quote's broader change log.

21Work on a smaller screen

Use the same My tasks header icon on a phone. The panel has its own scrolling area; move within it to reach later tasks and controls. Expand the description when the title alone is not enough context.

In Task Tracker, controls and employee sections stack as space narrows. Clear filters or close the panel when you need the full page again. Check the saved row after an edit instead of assuming an off-screen button was pressed.

Check the result

  • The saved title and description explain the next action, and the owner is correct.
  • The linked quote, job and phase are the intended records; the saved reminder shows the intended day and time.
  • Personal labels and shared assignment flags have the intended scope.
  • Completion, notifications and any board post agree with the work actually performed.

If something looks wrong

  • A missing task may be on Assigned rather than the header's My Tasks tab. Clear tracker search and filters and include Done when looking for completed work.
  • No Team or Assign a task control can reflect your role or permissions. Ask an administrator to review access; do not assume that record-linked assignment grants company-wide visibility.
  • If a label disappears, review the appropriate Personal or Assignee label set and its Save Labels state. The task can remain even after its label has been removed.
  • Tasks do not schedule crews or send a customer email simply because the title says to do so. Perform those actions in their own workflows.
  • For a date/time concern, compare the saved reminder in the tracker and record view and check the computer's time zone before creating a duplicate task.
