Where to start
Quotes → CreateBefore you start
- Identify the billing account and actual project address; these may be different.
- Check whether this is a new job or an addition to an existing job, and have the required answers ready.
- The custom field names and dropdown choices come from your shop. Examples in this guide are not mandatory SlabOS fields.
1Enable the intake window when your shop needs it
Administrators: open Settings → Company → Defaults and find Quote Intake. Turn on Require the intake window on every new quote. Save Intake applies the choice to your shop.
When this is off, starting a quote can use the normal create or drawing flow instead. The optional intake window is for collecting information before drawing; it is not the quote detail page's Edit Info window.
2Choose the required standard fields
With intake enabled, choose which fields must be completed: Client / billing account, Primary sales consultant, Pricing tier, Payment terms and Jobsite address. Offer a Secondary Sales Consultant field controls whether the second consultant picker appears. Save Intake after changing these choices.
A required jobsite address checks Address line 1. It does not establish that the contact, city, postal code or address itself is correct. Review the whole address block.
3Configure custom questions
Open Settings → Templates → Quote Info. Add or edit a field, give it a clear title and choose the appropriate field type. For Dropdown and Dropdown (multi-select), maintain the actual answer choices.
Ask at quote create displays the field in intake. Required also turns on Ask at quote create and blocks creation until an answer is supplied. Turning Ask at quote create off also clears Required. Save default fields applies the definitions to future quotes.
Each created quote keeps a copy of its field definitions and answers. Editing these defaults does not rewrite the field snapshots on existing quotes. Hide if empty controls the information panel's empty-field display; it does not replace the intake requirement.
4Open Create Quote and read the requirements
Go to Quotes and choose Create. If intake is enabled, the Create Quote window opens before the drawing wizard. Required fields have an asterisk, and the footer lists missing answers. Create Quote stays disabled while a required answer is missing.
On a smaller screen, scroll inside the window to reach the lower fields. Review the footer before saving. Cancel closes the window without creating a quote from its unsaved answers.
5Search for and select the billing client
Type the client's name in Client / Billing account and select the matching result. Browse accounts opens the available results. Typing a name is not the same as selecting its account record.
Check the selected name, especially when similar accounts or branches exist. The account can supply its assigned salesperson, payment terms and pricing level. A newly created account is a separate saved record; canceling the quote does not undo account creation.
6Attach to an existing job when appropriate
Choose Add this quote to an existing job, search by the job name or number and select the intended job. The selected job supplies its billing account. Check the visible client again after selecting the job.
If the job already has a primary quote, the window explains that this quote will be added as a change order. The primary quote remains linked, and the new quote contributes zero to the job until accepted. Saved job-address fields can be inherited when the change order is attached, so verify the address again after creation.
Clear the existing-job choice when this quote should start independently. A quote opened from a specific job may already have that job selected and omit this checkbox.
7Copy and inspect the jobsite address
Choose Copy from client to copy the selected account's onsite contact, street, second address line, city, province or state, postal code and phone. Blank source fields clear previously copied values. This is a snapshot; it does not link future address edits automatically.
Where Same as Account Address appears instead, use that control and inspect the copied result. Either way, replace the copied billing address when the actual project is elsewhere. Changing intake fields does not edit the account's saved address.
8Enter a different site and contact
Enter the onsite contact, Address line 1, Address line 2, City, Prov / State, Postal / Zip and Onsite phone. Use the second line for a suite or unit, rather than mixing it into the city.
When address suggestions are available, selecting one fills the supported address components. Check every resulting field; a suggestion is not proof of the project's location or access instructions. You can also type or correct the address manually.
9Name the quote
Enter a useful project or scope name in Quote name (optional), such as a residence and kitchen. Leaving it blank creates a quote named New Quote. A clear name makes the quote easier to identify later in lists and on the job.
10Review both consultant choices
Select the Primary sales consultant responsible for the quote. An assigned client salesperson can fill a blank selection. A selection already present is retained when you change clients, so verify it instead of assuming it changed with the account.
If the optional Secondary sales consultant picker is enabled, choose the additional consultant or leave it blank. This second picker is separate from adding a name to a text note. Available choices are active, enabled team users.
11Review the pricing tier and price list
Pricing tier selects the configured price level for this quote. The client's pricing level can be inherited; review it before creating the quote. This does not edit the price list's rates.
Shops with account pricing restrictions may instead show an account-authorized Price List and a locked pricing level. Only permitted assignments are available there. Ask an administrator to correct an account assignment when needed.
Location and searchable dropdowns also depend on shop features. Where a dropdown says Type to Search, select the actual option. Check the saved quote's price list and location after creation.
12Select payment terms
Payment terms come from your shop's configured options. The account's active price-list assignment can supply its default terms, with the account's terms used as a fallback.
Inherited terms can change with the account until you make a different manual choice. Review the final selected term after changing clients. Choosing terms records the quote's commercial terms; it does not take a payment.
13Set the quote's sales tax deliberately
Sales tax % takes a percentage: enter 5 for 5%, not 0.05. Leave the field blank to use the shop default, or enter 0 for a zero-rate quote. The field accepts values from 0 through 100; correct an invalid value before creating the quote.
This is a value on the new quote. It does not edit the price list or change the company's default. Verify the saved percentage and the calculated tax in Summary & Pricing once the quote has priced items.
14Answer text, number and date questions
Fill the Quote info questions your shop has enabled. Text accepts a short value; Multi-line text provides space for a longer answer. Number accepts numeric input, including zero. Date records a calendar date.
Use each question's stated meaning rather than guessing from its position. A customer PO number, for example, should be entered in the shop's intended PO field. A required blank or whitespace-only text answer will keep creation disabled.
15Use dropdowns, multiple selections and checkboxes
For Dropdown, choose one of the configured answers. For Dropdown (multi-select), choose all applicable entries; on a native desktop list, Ctrl-click on Windows or Command-click on Mac selects separate entries, and Shift selects a range. Review the highlighted choices.
A Checkbox stores a checked or unchecked answer. For a required checkbox, explicitly choose its intended state; selecting it and clearing it records an unchecked answer. A required multiple-selection field needs at least one selected entry.
16Keep the note appropriate for the quote
Note is saved to the quote's Notes field, which document templates can expose as Quote Notes (Customer Facing). Do not treat this intake note as a private internal note. Use the quote detail page's separate Internal Notes field for internal information, and inspect the selected PDF template before sharing.
17Create the quote and handle a failed save
Review the client, job, site, consultants, pricing tier, terms, tax and custom answers. Choose Create Quote once and wait for Creating… to finish. A successful save opens the saved drawing editor.
If creation fails, the window keeps your entered answers so you can correct the problem and retry. Read the error instead of repeatedly clicking. If a message says the quote was created but could not be opened, check Quotes before creating another copy.
18Reopen and verify before drawing or sending
Open the quote's detail page and review Quote Info and the address. Confirm the billing account, terms, pricing level, tax, custom answers and any job attachment. Check the project address again on a change order linked to an existing job.
Continue with Drawing & Pricing to build and price the actual scope. Creating a quote is separate from emailing it. System emails use SlabOS unless the sending user has connected Gmail or Outlook and enabled Send system emails as me; connecting the mailbox alone is insufficient.
Check the result
- The saved quote identifies the intended billing client, project address and job.
- Consultants, terms and pricing match the final selection, including any deliberate overrides of inherited defaults.
- Custom values survive reopening, and the tax percentage uses the intended default, zero or explicit rate.
- Notes are suitable for their visibility in the selected customer document.
If something looks wrong
- No intake window: check whether Quote Intake is enabled; other create flows may be normal for your shop.
- Create Quote disabled: read the required-field list and tax message, then select actual dropdown entries or complete the missing answers.
- Wrong inherited terms or consultant: inspect the account's defaults and the currently selected quote values. Existing selections may be deliberate overrides.
- Missing custom question: check Ask at quote create in Templates → Quote Info and save the defaults. Existing quotes keep their own field copies.
- Unavailable pricing or location option: ask an administrator to review the shop feature and account assignment.
