The office should not rebuild the same list every morning. Choose the useful fields, apply the filters and save a personal or shared view. Make it your default when it is the place you start work.
Filter the quote list, keep the columns that matter and save the view; set it as your default and it opens first every time, while each role keeps its own view and sharing a view never shares access.

Keep what matters.
Quotes, Customize, Display Fields. The list starts with Account Name, Quote Name, Created Date, Quote Status, Current Revision, Price List, Email Delivery, Email Viewed Date, Salesperson and Location.
Created Date, Current Revision, Price List, Email Delivery, Salesperson and Location are removed. Total is added and dragged up beside Quote Status. Valid Until is added.
The list now shows Account Name, Quote Name, Quote Status, Total, Email Viewed Date and Valid Until.
Filter it.
Filter: Quote Status is not Won. The list goes from 10 quotes to 7.
Filter: Total Value at least 5000. The list goes from 7 quotes to 4.
(The four open quotes left are $7,480 Sent, $9,640 Draft, $6,210 Viewed and $8,875 Sent.)
Save the view.
Apply View. Use temporarily, or Save as a view. Save as a view is chosen.
View name: Open quotes 5K+.
Visibility: Shared with team, or Just me. Just me is chosen.
Set as my default view is ticked.
Save & Apply.
Saved.
The quote list now reads: Quotes, Open quotes 5K+ (2 filters).
Leave. The user goes to Jobs, Standard View.
Come back. The quote list returns with the saved view.
Still set. My default: opens first for you.
A view for every role.
Estimator: Quotes, Open quotes 5K+, Just me (my default).
Office: Jobs, filter Material Status is not Received, saved as Stone not in yet, Shared with team.
A view is not a permission.

Choose the fields
Make the list answer a question.
Customize the displayed fields for the work you are doing. The walkthrough builds a quote list around customer, quote, status, total, email viewed date and validity. Field order matters: put the information used for a decision next to the record it describes.
- Remove fields that distract from the task.
- Add the available fields that inform the decision.
- Arrange the columns before saving.
Apply the filters
Open quotes worth following up.
The example excludes Won quotes and requires a total of at least $5,000. That produces a focused list of open work for the estimator. The threshold is an illustration; the shop chooses the criteria that fit its process.
- Check the meaning of each filter.
- Review the records left in the list.
- Name the view so another person understands its purpose.
Save and return
The morning setup stays set.
Apply the view temporarily or save it with a name. Choose Just me or Shared with team, and set a personal default when appropriate. The clip leaves Quotes for Jobs, then returns to the saved quote view with its filters still applied.
- Personal views serve an individual workflow.
- Shared views provide a common starting point.
- The personal default controls which view opens first for that user.
Respect the record access
Sharing a view shares the setup.
A shared view does not grant access to additional records. Each person still sees what their permissions allow. Use separate views for roles with different questions: an estimator’s open quotes and an office view of jobs waiting on material need different fields and filters.

- Use staging views for the production-board workflow.
Saved Views questions
Does sharing a view share all the underlying jobs?
No. Record permissions still apply. Sharing a view shares its saved configuration.
Can I try a view without saving it?
The demonstrated Apply View workflow includes a temporary option.
Can a saved view open by default for me?
Yes. The save workflow offers a personal default option.
